Data Processing on Our Website and Other Online Services
Log Files When Accessing Our Website

When you access our website, log files are created for the purpose of analyzing errors and security incidents. These are stored for only a few days to weeks and are then automatically deleted.

For hosting our website, we use www.netcup.de as an external service provider. The log files are stored there.

Subscription to Our Newsletter

If you have subscribed to our newsletter on our website, we use your email address to regularly send you the newsletter and to provide you with important information about the association. The legal basis for sending the newsletter is your consent (Article 6, Paragraph 1, Sentence 1 a) GDPR). You can withdraw your consent at any time to stop receiving the newsletter. To do so, you can click on “unsubscribe” at the bottom of the newsletter email. Alternatively, you can write to us at mail@einsvonvielen.org or by post. We use Brevo for sending the newsletter. The email address you provided for the newsletter will be deleted as soon as you withdraw your consent, unless this email address is also used for other communication between the association and you beyond just the newsletter.

Data Processing as Part of Our Association Work
Membership Management

Membership data is processed by the respective office holders of our association only for the fulfillment of their assigned tasks. Specifically, this means:

  • If the board requires membership data to perform its duties, it may access all necessary membership data for this purpose.
  • The auditor processes the membership data relevant to the audit. This includes first name, last name, postal address, and bank details with payment data, as well as access to the direct debit authorization including signature, if the member has granted the association a direct debit mandate.

The purpose of processing membership data is to pursue the association’s objectives and manage membership. The legal basis is the association membership (Article 6, Paragraph 1 b) GDPR).

The current membership data is stored for the duration of the membership and for an additional year beyond that.

Photos at Events

Photos of our association activities are published on our website for the purpose of external presentation. The legal basis for publishing the following photos of adults on our website is the legitimate interest of our association described below according to Article 6, Paragraph 1, Sentence 1 f) GDPR:

  • Group photos based on our legitimate interest in informing about the events,
  • Photos related to events based on our legitimate interest in reporting on the events,
  • Photos of the audience attending the event or photos where individuals appear only as background, based on our legitimate interest in reporting on the event and its success.

You have the right to object to the use of a photo showing you in accordance with Article 21, Paragraph 1 GDPR. The association will then examine whether there are compelling legitimate reasons for the processing that outweigh your interests, rights, and freedoms. If not, the relevant photo will be deleted.

Other photos where an adult (association member or others) is the focal point or was deliberately photographed will only be published with the consent of the person concerned (Article 6, Paragraph 1, Sentence 1 a) GDPR). This consent can be withdrawn at any time for the future.
